This policy explains how HOA Engine handles information when an association uses the service or someone visits our public website. An association is responsible for the information it chooses to collect from residents and place in its workspace.

Information we process

Depending on how a workspace is configured, this can include account details, contact information, property and occupancy records, requests, communications, documents, payment status, and technical information such as device, browser, and log data.

How we use information

We use information to provide and secure the service, authenticate users, process requested transactions, respond to support requests, prevent fraud and abuse, maintain audit records, and improve the reliability of the platform.

Payment information

Payment card and bank-account details are handled by the applicable payment processor. HOA Engine does not store full payment card numbers. Your association's payment processor may have its own privacy terms and notices.

Sharing

We share information only as needed to operate the service, such as with hosting, authentication, email, security, and payment providers; when directed by the association; or when required to comply with law, enforce rights, or protect users and the service.

Access and retention

Workspace administrators control who can access their association's information. We retain information for as long as needed to provide the service, meet legal obligations, resolve disputes, and maintain security and audit records. Associations should export records they need before ending service.

Security

We use reasonable administrative and technical safeguards designed to protect information. No internet service can guarantee absolute security; administrators should use authorized accounts only and promptly remove access that is no longer needed.
